A useful work instruction describes how a specific task is actually performed within the company. A generic template may provide a starting point, but it often fails to reflect real equipment, responsibilities and working methods.

The problem appears when a document looks complete on paper but does not give employees enough practical information to perform the work consistently and safely.

One instruction does not fit every company

The same task may involve completely different equipment, tools, materials and working methods in different companies.

That is why a work instruction should be based on the actual workplace and process rather than only on a generic job title.

Instructions should match the actual equipment

Where specific machinery or tools are used, instructions should reflect their real operation, key hazards, checks and working sequence.

A generic document that could apply to almost any machine often provides too little practical guidance.

Responsibilities should be clear

A good SOP or work instruction should help define not only what is done, but also who performs checks, who is responsible and what happens when something is not as expected.

This reduces situations where an important task is missed because everyone assumes someone else is responsible.

Risk assessments and work instructions should support each other

If a risk assessment identifies a specific hazard but the related work instruction does not explain how that hazard should be controlled, the documentation does not form one coherent system.

When should work instructions be updated?

Instructions should be reviewed when new equipment is introduced, work organisation changes, new technology is adopted or an existing instruction no longer reflects the actual process.

The goal of a good work instruction is not to be as long as possible, but to be genuinely usable.
